2 Minute of the last meeting
Minutes of the meeting on 15th July 2002 were read and adopted.
3 Matter Arising
None not covered elsewhere
4 Matters Arising from AGM
List of qualified Coaches within Club to be added to Notice Board - Done
Members weekly fees list to be attached to Peg Board - Done
David Lloyd - no progress, still waiting to hear further form them re answers to our questions etc.
Balance Sheet - still not received
Higher players retention / betterment - see AOB
Club T Shirts for Juniors - felt to be a good idea. Craig holds information required. Jo to chase.
5 Chairman's Report
Pete - nothing to report
Mike - nothing to report
6 Treasurer's Report
There are a lot of unbanked cheques with Craig at present. Mike will contact Craig and bank himself if necessary.
It was agreed that a second paying in book should be obtained. Matt Bunton volunteered to hold this and bank Club Night fees etc.
7 Secretary's Report
There are still a lot of Selection Forms outstanding and Team Declarations for the Leagues need to be in very soon.
Fixtures Meetings are being covered as follows:
Waterside 1/9 - Dan & Jo
Soton 4/9 - Jo
Winchester - 13/9 - Dan & Matt
Press Releases are beginning to appear in papers (pinned on board)
8 Social Secretary's Report
Jo reported that the Presentation Evening was very well supported, but the venue was not ideal - very hot, not enough seats and expensive food and hall hire.
Jeanette reported that she had money for 15 for the Xmas dinner dance, but promises of about 25. The Club has paid a deposit for 30.
The Fun Tournament originally planned for early September had not been put into motion.
Jeanette agreed to look into Ten Pin Bowling for February ish.
Gladys will do Xmas 2003.
9 Junior Representatives Report
Pete Gurd reported that numbers had fallen over the summer and there were only 3 or 4 the day before. New advertising campaign to go ahead. Pete G to draw up poster and Jo to do leaflet. Matt B to investigate cost of copying leaflet at his work if paper provided.
Matt P to target schools again.
Matt P to go ahead with echo adverts. Draft advert to be sent to Mike asap.
Mike to look at costs of inserts to local papers.
Only 2 courts had been set out for the Juniors 2 weeks running. Jo to speak to Centre as 3 had been paid for.
Jo needs names and addresses from Matt of all Juniors for BA of E insurance.
Matt has no date yet to finish his Coach Part 1
Pete G and Sonia to confirm to Jo if they can do Leaders on 1st September
10 Next Sport England Grant
Mike to check out when we can apply etc.
Agreed to have a sub committee meeting to discuss spending remainder of Junior Grant. Craig, Mike, Pete B, Jo, Matt P and Pete G to attend. (Equipment, T Shirts, Shuttles and Coaching earmarked)
11 Any Other Business
Jo given go ahead to purchase lockable store for shuttles, peg board etc.
Reserve monitoring will be carried out by the following:
Waterside - Jo
Winchester - Julie L
Southampton - Jo
A Captains Meeting will be held for all Club Team Captains as soon as all the relevant paperwork is available.
How do we retain our better players and get then even better?
1 - Extra Club Nights during season allocated to specific Teams
Pros - more practice with own partner - play players of similar standard
Cons - logistics of getting a night when all team available when people play in so many different teams - very few available free nights - would need to do for all Teams
2 - Friendlies during summer
Pros - play different people - could ask Clubs of a higher standard to practice against
Cons - would other Clubs want to play in summer - would better Clubs want to play us - would need to do for all Teams
Having discussed the two above it was decided that neither was viable. However another suggestion was made and the following was agreed upon:-
Every other Thursday from May to August will be a Coaching night with a good quality Hampshire Coach. Members will need to register with Jo to attend each Coaching Session. Cost will be around £5 per session and it will be open to all. This should allow all players to improve their game if they so wish. The opposite Thursdays will be normal summer Club Nights.
Jo to approach Pete and Chris Sheppard and Mark Peckham to gauge their interest and quantify costs etc.
12 Date of next meeting
Full Committee - Monday 18th November - 7:30pm Totton Recreation Centre
Junior Sub Committee - 30th September (this has been subsequently cancelled as the Treasurer could not make it - will be rearranged)
