COMMITTEE MEETING
MONDAY 14th JANUARY 2002

1 Apologies of non attendance

2 Minute of the last meeting
Minutes of the meeting on 12th December 2001 were read and adopted.
3 Matter Arising
As Craig has had letters of apology from Lloyds re recent problems and we have incurred no charges, Mike will not follow up with another letter. We will not use this method of deposit again.
Peg board sticker re games 8-9pm has been added.

Newsletter has not yet gone onto website due to problems opening attachment. Ian B to scan and send to Pete B
Blue mats at edges of court have been removed at our request.
4 Chairman's Report
Nothing to report
5 Treasurer's Report
The Treasurer did not incur any credit card fees when he covered our court costs recently.
The final match fees outstanding form last season have been agreed and will be paid shortly.
Andy Ford has mooted that he may wish to rejoin our Club. When he left last time, due to injury part way through a season, it was with outstanding membership fees. It was decided to approach him to make some contribution towards outstanding fees at least to cover BA of E registration and other fees paid out. Craig to have discretion and discuss with Andy.
Match fees are coming in OK
Subs came in well and only a couple of reserves still owe fees to cover registration
Cancelled matches are costing us money. Suggestion of internal captains meeting at start of season to outline some basic guidelines.
Craig announced Carol was happily expecting again and congratulations were recorded.
6 Secretary's Report
Jo was looking to place 25 dozen feather shuttles with some to cover her impending absence from the Club. Jeanette's garage received top votes!. Team captains please note if you run short of shuttles from mid March to mid April Jeanette should be your point of contact.
7 Social Secretary's Report
Ken has arranged a Fun Tournament on 23rd February.
Courts are booked from 7-9pm with food at the Farmhouse Pub at approx. 9:30pm. Ken will draw up posters for next weeks Club Night and will provide dust sheets to cover the nets with.
Ken will also purchase appropriate prizes dependent on number of people attending.
Partners to be drawn out of hat on night and handicapped if necessary.
It was agreed the Club would cover the cost of courts, shuttles and prizes as a give back and people would only pay for their food.
Cost will be between £ and £3.50 per head.
Thanks were recorded to Jeanette for arranging an excellent Xmas Social at Southampton Park Hotel. Venue was good and food excellent. Agreed to go back next year, Jeanette to investigate booking now so we can get a Saturday night.
8 Junior Representatives Report
Matt reported that another member of Hants U21 Development squad had attended our Club Night last week ands also that two Club Members (Kim Marsh and Andy Kaiser) had represented Hampshire at an U21 County Tournament in Torquay over Xmas and indeed won the tie.
Sport England Grant and Launch of Junior Coaching:
Sample posters had been passed to Mike tonight. He will edit and return to Matt - to be sent out by end of week and passed to Pete B for the website. (MP)
Courts have been booked from 3rd Feb for 12 weeks, Sunday 1-3pm except Easter Sunday
Rota is needed for assistance to Matt for these 12 weeks (JF)
No leaders award date available yet
It was agreed to pay Matt the going rate for a Coach for the two hours session every week. A figure of £10 per hour was suggested and thought to be acceptable.
Jo raised the question of fees. Last time we set it at £24 per term, but this works out at just £1 per hour. We need to be self sufficient next year and it was agreed to raise to £30 per term
Promotion Days are to be used to encourage next terms intake.
16 rackets have been ordered. BISI Carbon Graphite Talbot Torro one piece rackets. RRP £65 available to us at £18.50 plus vat.
100 dozen shuttles have been ordered and received from Ashaway
Jo to draft County magazine article for next edition
Craig to dig out polo shirt details etc.
Juniors to be BA of E Registered (JF)
There was an article in the Echo re our award. Mike to try to obtain a copy.
Diet and exercise sheets are not available yet (JL)
A selection of books and pamphlets to be ordered from the BA of E for reference / lending (JF)
Anyone enquiring about the course needs to be advised of correct attire / footwear etc. (JF/MP)
Matt to enquire if the Racket Centre will give members a discount if we point them in that direction.
9 Public Liability Insurance
Mike's brokers are having trouble getting anyone to ensure Club. Looks like being very expensive. Trying to find a sports specialist insurer. Jo provided name of Marshall Wooldridge who used to insure Lyndhurst a few years ago.
Mike has drafted a disclaimer and will let Ian Newcombe look over it. Ian has agreed and even offered to run it by a higher authority, but warns that most disclaimers are not worth the paper they are written on.
BA of E and County lines are to be checked on this (JF) NB Following the meeting and a discussion with the BA of E it was discovered that for the first time this year they have an unwritten agreement with their brokers that a pay and play person is covered for the first 6 weeks of visiting a Club as long as those visits are recorded in a Visitors book and available for inspection.
It was suggested that we could differentiate between registered reserves and general pay and plays in our fees to help offset any insurance paid. At present Reserves pay £20 to cover fees and administration and then £3.50 a night while pay and play just pay £3.50. It was suggested we could charge pay and play £5.00
This is to be revisited at next meeting.
10 Any other business
Commitment
A long discussion ensued on how to encourage commitment to Teams, the Club and Club Nights. Several different opinions were proffered and no real solutions reached. It was recognised there were two problems for the selection committee/ main committee to consider for next year -
i Injuries - do you select an injured player, do you take best estimate of when they will be fit or do you rule them out.
ii Commitment - a yellow card, red card system was suggested for people who consistently could not play for their team, but as with everything this is very subjective, what is a good reason for not being able to play?
Selection forms for next year will include section urging commitment.
Mike will reiterate at AGM that commitment is required for Teams, Club and Club Nights.
It was suggested that non Club night attendees could not be selected for Teams, but again some people have very good reasons for not coming on a Monday night. Who decides who can and cannot be selected?
The Chairman made the point that we were a friendly club.
Club Nights
Comment noted that Team players do need to practice with their partners at Club Night. Not everyone knows who plays with who, so if someone wants a game with a certain person they only have to ask and it will be fitted in during the evening.
