COMMITTEE MEETING
WEDNESDAY 12TH DECEMBER 2001
Present: Mike Newton Woof (Chairman), Jo Francis (Secretary), Matt Pascoe (Junior Representative), Jeanette Worsley (Social Secretary), Gladys Appleby, Peter Gurd, Ian Bland, Pete Burgess, Julie Lakomy.

2 Minutes of the last meeting
Minutes of the meeting on 19th July were read and adopted
3 Matters Arising
Club Night Rota - some Committee members still not turning up on allotted nights. Suggestion to encourage people to diarise their nights and previous weeks person to contact next weeks to remind them. Remember games to 11 from 8 -9 if crowded. This to be added to peg board if possible (JMF).
Southampton League Entry - This was done and the team is enjoying great success. 2nd Team for next year.
Presentation Evening - good evening. Thanks recorded to Jane Bickle.

5 Chairman's Report
Newsletter for December has been handed out at Club Night and will be posted to everyone else. Articles for next edition would be appreciated. Newsletter to be added to Web Site (PB)
Concerns were raised re commitment to Teams etc.
7 Treasurers Report
In the Treasurers absence the Chairman reported on a recent incident where Lloyds Bank had lost a blue bag containing cash and cheques for credit to our account. This is now thought to have been fully resolved. However, it resulted in some embarrassment for the Club as a large cheque to Totton Recreation Centre to cover 3 months court fees bounced. The Treasurer had to cover the court fees on his own credit card in the interim period.
Letter to be written to Lloyds re no charges and some guarantee that this will not occur again (MNW)
Thanks recorded to Craig for covering fees.
Suggestion that Team Captains submit match fees in cheque form.
Suggestion that we only use counter credit facilities and not the blue bag option in future.
7 Secretary's Report

8 Social Secretary's Report
30 people are attending next weeks Xmas Party at Southampton Park Hotel organised by Jeanette.
A fun tournament will be held in February - Ken still to confirm exact date and format.
9 Junior Report
We have now received confirmation that we were successful in our bid for a Sport for All Grant from Sport England. We received £4692 towards Junior Coaching early in December. A bank account was opened and details were released to the press on 3rd December.
We are targeting 15-21 years olds as per our "Aims" - see web site
We have 8-9 people interested in doing a Leaders Award and who would then be willing to assist Matt P with Coaching. Nigel Tier is hoping ti run one in February and will let us know ASAP of the date.
Immediate expenditure will be on Leaders Qualifications, another Coach Part 1 qualification if possible, rackets and shuttles.
Initially we will be booking 2 courts from 1-3pm on a Sunday commencing 1st week February. This will allow us 10 Juniors to start with and can be increased after 1st term. 1st term of 12 weeks to run until e/o April excluding Easter Sunday.
Cost to be £2 per session to be paid termly i.e. £24 for first term
Posters - MP to send example to MNW & PB this week. Need to be out to local schools and 6th Form Colleges first week of January. List provided to MP.
Rackets - 16 to be purchased either form BISI or Nigel Tier. (JMF)
Shuttles - Feathers to be purchased (JMF)
Shirts - Look at offering Matchpoint Shirts to Juniors (and Adults). Craig has info left behind by Steve Knuckey. Costs to be looked at.
County Magazine - Article to be written on Junior Club and sent to Janet Palmer (JMF / MNW)
Diet and Exercise Sheets - to be drawn up ready for distribution (JL)
Other items for future purchase - videos and books, shuttle feeder(?)
10 Any Other Business
England V China - The Club provided 3 helpers on the day, Mike Owen, Matt Pascoe and Ian Herbert. The Club a received special mention form the BA of E re our newly received Grant for Juniors.
County Newsletter - Several Club members have been mentioned in this recently - mostly for Hants U21 achievements,, but also some Tournament successes as well.
Concern was raised over Pay and Play players not being BA of E registered and thus not insured - Leaving Matchpoint open to claims??. Decided to encourage membership, but also to draw up a disclaimer for those who really do wish to just Pay and Play. Disclaimer needs to be simple and understandable. (MNW & PB). Once drawn up we will then approach Ian Newcombe to pass a professional legal eye over it.
Need to look seriously at Legal Liability. Quotes to be sought for Public Liability insurance (MNW)
Concerns raised over blue mats at edges of courts falling down. The centre to be asked to remove them before commencement of play. (JMF)
